Details: Infrastructure Delivery (ID) is responsible for the delivery of the City and Environment Directorate (CED) Capital Works program on behalf of Roads ACT, City Presentation, ACT NOWaste, Transport Canberra, Libraries ACT, Sports and Recreation and other business area within the Directorate. We deliver infrastructure and public spaces that respond to community needs, seeking creative and innovative solutions to support effective delivery. This includes (but not limited to) public realm improvements, footpaths, roads, parks, bridges, cycle-lanes, shared paths, street lighting, public transport infrastructure, stormwater infrastructure, shopping centre upgrades, urban renewal, landfill cells, car park improvements, playgrounds and sportsground infrastructure.

This Executive Assistant position works to the Executive Branch Manager Infrastructure Delivery and is responsible for providing high-quality executive support, including diary management, arranging and scheduling meetings and appointments, managing telephone calls, and actioning emails and enquiries promptly and efficiently. The Executive Assistant will also provide secretariat support for executive and senior management meetings as well as assisting in the coordination and processing of ministerial briefings and correspondence through Objective.

This is an integral position within City Services. The Executive Assistant is expected to have excellent written and oral communication skills as well as excellent customer service and organisational skills, the ability to work under pressure and liaise with staff at all levels of the Directorate and the Legislative Assembly. The role also requires discretion and professionalism to be exercised at all times.

The role is also responsible for:

  • Managing the diary, telephone, emails and workflow for the Executive Branch Manager Infrastructure Delivery, including arrangement of appointments, meetings (including logistics (bookings, set up etc) and preparing agendas and papers required for meetings) and travel as necessary.
  • Coordinating and reviewing communication and incoming and outgoing correspondence, including creating, tracking and managing the flow of incoming and outgoing documents using Objective.
  • Critically examine, evaluate and take appropriate action on reports, submissions and information submitted to the Executive Branch Manager Infrastructure Delivery to ensure relevance, completeness and accuracy.
  • Providing administrative support to the broader Infrastructure Delivery senior management team as required.
  • Other duties as required which align to this classification.
  • This position does not involve direct supervision of staff.

Eligibility/Other Requirements:

  • Demonstrated understanding of executive support requirements.
  • Demonstrated understanding of records management in a government environment.
  • Demonstrated ability to work collaboratively in a team environment to achieve the organisation’s objectives.
  • Demonstrated high-level communication with internal and external stakeholders while demonstrating sound judgement and discretion, including the ability to strategically collaborate in a clear, concise and articulate manner.

Notes: This is a temporary position available from the middle of September 2025 for a period of 10 months with the possibility of extension up to 12 months.
